Operations Administrator


We are currently seeking an Operations Administrator to join our Operations team. The role will provide support to internal teams in the delivery of an administrative service, that is efficient, effective and of a high standard.

Person specification

We require someone who has administration experience within a professional office environment. We require someone who thrives on working in a team and takes a proactive approach to their work.

We will expect you to:

  • Have strong communication skills;
  • Be highly organised and professional;
  • Be motivated and enthusiastic with a positive ‘can do’ attitude, remaining calm when under pressure;
  • Have attention to detail and produce accurate work
  • Have proficient IT skills and the ability to learn how to use new systems and technology quickly.
  • Ability to work to targets.

Job responsibilities

  • Receive the incoming mail, ensuring that it is scanned and sent to each internal team in a timely manner.
  • Ensure all outgoing post is franked and available for collection within the agreed Royal Mail timelines.
  • Manage and maintain appropriate levels of stationery for business use
  • Ensure all files are sent to and retrieved from the offsite archive supplier as required by internal teams.
  • Keep appropriate records to ensure that the outsourced archive supplier invoices can be validated prior to payment.
  • Prepare high quality documentation covering letters, presentations, spreadsheets and reports as required.
  • Undertake the file closure activity ensuring balances are appropriately actioned and client confirmation is issued within 5 working days of receipt of instruction from the fee earner.
  • Complete administrative functions such as document scanning, issuing of faxes and photocopying as required.
  • Support the secretarial group as required to ensure that critical tasks are covered and the required client service is delivered.
  • Operate an effective pending/brought forward system that ensures all critical activities are progressed within the required timelines.
  • Assist with projects as required by meeting agreed deadlines and achieving specific deliverables.
  • Ensure that personal and team work space is kept tidy and professional at all times
  • Any other duties within the scope and spirit of the post as required.
